Prečo je multitasking toxický?
Myslíte si, že ste dobrý v multitaskingu a zvládate bez problémov robiť viac vecí naraz? Prípadne podarilo sa vám už niekedy v živote natrafiť na hrdinu, ktorý o sebe s hrdosťou tvrdil, že je „multitasker“? Ja som to šťastie mal, a dokonca viackrát. Dlho som sa nad touto problematikou nezamýšľal hlbšie, pretože som pracoval v prostredí, kde takíto jedinci neboli vôbec raritou. Až v posledných rokoch som nejako prirodzene začal nadobúdať dojem, že tá hrdosť v tomto prípade asi nie je na mieste.
Čo je to multitasking? Zjednodušene povedané, je to práca na niekoľkých aktivitách súčasne. Možno ste sa rozprávali s niekým a ten počas rozhovoru s vami „stíhal“ písať aj mail. Prípadne ste svedkami toho ako váš kolega pri vedľajšom stole zvykne byť aj hodinu pripojený na telekonferenciu, popri tom si upravuje svoju prezentáciu v PowerPoint-e a do toho ešte odpovedá na prichádzajúce správy zo Skype. Alebo sa s niekým rozprávate a dotyčný vám síce odpovedá, ale popri tom hľadí a ťuká do mobilu, lebo musí práve v tejto chvíli odpovedať aj niekomu ďalšiemu. Krásne príklady, však? 🙂 Žiaľ vôbec nie neobvyklé.
Ak chce byť niekto naozaj produktívny, dôležitá je koncentrácia, focus a zameranie na konkrétnu aktivitu. Na jednu konkrétnu vec. Neustále prepínanie medzi viacerými témami nás oveľa viac vyčerpáva, než sústredenie sa na jedinú. Aj keď si to neuvedomujeme, nášmu mozgu vždy nejaký čas trvá kým sa dostane na pôvodnú úroveň koncentrácie, z ktorej bol vďaka nám vyrušený. Pokiaľ ho takto vyrušujeme často a rôznorodými úlohami, je to veľmi neefektívne, urobíme vo výsledku aj tak menej práce a sme vyčerpaní skôr.
Prepínanie medzi jednotlivými úlohami v nás síce vyvoláva pocit zaneprázdnosti, a keď je človek zaneprázdnený, automaticky si myslí ako veľa urobí. Tento druh zaneprázdnenosti je však klam, vieme byť totiž produktívnejší ak dokážeme pracovať súvislejšie a bez vyrušovania.
Odkedy som začal podnikať na plný úväzok, život ma logicky prinútil zaoberať sa otázkou ako čo najefektívnejšie využijem svoj čas určený na prácu. Tak ako tvrdí Jirko Mazur vo svojom kurze Život na pravé straně, čas je najvýznamnejším aktívom nášho života. Čas je niečo, čo majú všetci ľudia určené úplne rovnako. Pre každého z nás má deň 24 hodín alebo týždeň 7 dní. Je na nás ako vieme tento pridelený čas využiť na dosiahnutie svojich cieľov.
Keďže pracovných aktivít mám niekoľko a robím na viacerých projektoch, musel som sa zamyslieť nad tým ako sa to dá zvládať. Čo budem robiť inak ako som bol naučený doteraz, keďže svoju pracovnú dobu som určite „nafukovať“ nechcel? Čas, ktorý mám určený na prácu som sa pokúsil optimalizovať tak, aby som z neho vytrieskal čo najviac a získal nejaké hodiny navyše. Tu je zopár pravidiel a tipov, ktorými sa snažím riadiť:
- Singletasking – Som zástancom singletaskingu, ja nie som multitasker! 🙂 Učím sa pracovať tak, že sa koncentrujem na jednu konkrétnu vec, ktorú vykonávam. Multitasking mi nikdy nešiel, nevedel som urobiť kvalitne viac vecí naraz. Snažím sa čo najviac eliminovať rušivé vplyvy okolo mňa tak, aby som sa mohol v danom okamihu čo najviac sústrediť na jednu aktivitu. Nemyslím tým však robiť na jednej veci celý deň (to by som nedokázal), ale v stanovenom časovom bloku.
- Práca v časových blokoch – Pracovný deň mám rozdelený do viacerých časových blokov a ku každému je priradená konkrétna úloha. Je na nás aký čas priradíme ku každému bloku, mne sa osvedčili 25-minútové intervaly. Každý blok sa snažím maximálne využiť a stihnúť v ňom čo najviac.
- Denný plán – Na každý deň si pripravujem denný plán, čo mi zaberie 5-10 minút. Denný plán sa skladá z časových blokov, ku ktorým sú priradené konkrétne úlohy v plánovanom poradí. Dôležité je pripraviť denný plán na konci predchádzajúceho dňa, aby som mal od rána jasné čo budem robiť. Keď prídem ráno do práce, už nerozmýšľam, čo treba urobiť, iba nasledujem plán.
- Kreatívne, najdôležitejšie a nepopulárne úlohy ráno – Odporúčam prvé hodiny pracovného dňa využiť na takéto úlohy. S lepším pocitom sa mi potom ďalej pracuje, keď viem, že to najdôležitejšie je už vybavené.
- Vypnutý mail – Nepracovať pri zapnutom maile alebo chate. Prichádzajúce mailu sú rušivé. Maily si pozerám niekoľkokrát denne, nemám ich však stále zapnuté.
- Vedieť povedať NIE – Stále sa učím povedať nie mnohým svojim nápadom, ktoré prichádzajú a hlásia sa o moju pozornosť. Nemôžem sa zaoberať všetkým, ale sústrediť sa iba na tie podstatné. Podobne je to aj s ponukami na stretnutie, ktoré niekedy dostávam. Dvakrát si rozmyslím, či venujem svoj čas nejakému stretnutiu. Takto strávený čas musí mať zmysel, výzvy typu „Poďme si na kávu pokecať o tvojom Amazon biznise“ jednoducho nezaberajú.
- Nenechať si plánovať čas niekým iným – Ja som ten kto rozhoduje o tom, ako bude vyzerať môj pracovný deň. Stretnutia a telefonáty si plánujem na popoludnie, predpoludňajší čas si nechávam na tvorivejšie činnosti.
- Stand-up desk – okrem klasického pracovného stola mám aj druhý, vyvýšený, pri ktorom stojím. Na jednej strane tým znižujem celkový čas sedenia a na druhej strane ma toto striedanie polôh udržiava v lepšej pozornosti.
- Zmena aktivity – osvedčilo sa mi predeliť pracovný čas úplne inou aktivitou, pri ktorej som nútený mentálne vypnúť. Preto zvyčajne chodievam cez obed plávať alebo cvičiť.
Naschvál som napísal, že sa týmito pravidlami „snažím“ riadiť. Objektívne musím priznať, že nie vždy viem byť úplne disciplinovaný a na 100% dodržiavať všetky vyššie spomenuté zásady. Mám ich však všetky odskúšané, používam ich, u mňa fungujú a môžem ich preto odporučiť aj iným.
Je mi jasné, že riadiť sa podľa týchto pravidiel nie je pre každého jednoduché, veď závisí to samozrejme od toho, kto v akom prostredí pracuje. Chápem, že napr. zamestnanec, ktorý má miesto vo veľkej firme a sedí v „open space“, asi nemá veľkú šancu niečo z tohoto použiť. On výber svojho pracovného miesta ovplyvniť nevie, očakáva sa od neho, že sa zúčastní meetingu, ktorý mu naplánuje niekto iný, bude hneď reagovať na maily, bude online na firemnom chate a ešte aj odpovedať na zvedavé otázky menej skúseného kolegu.
Tieto svoje skúsenosti a tipy skôr ponúkam ľuďom, ktorí majú svoj pracovný život vo svojej moci.
V tomto svojom článku som sa zameral na multitasking, pretože ho považujem za pomerne obvyklý jav dnešnej doby, a ktorý je v rozpore s účinným využívaním pracovného času.
Prečo si teda myslím, že je multitasking toxický? Je to choroba dnešnej uponáhľanej doby. Dôsledok toho, že sa neustále za niečím ženieme, chceme stíhať stále viac, aby sme zarobili viac a rýchlo si mohli kúpiť niečo ďalšie čo nám chýba. Automaticky sa teda uchyľujeme k vykonávaniu niekoľkých vecí naraz, pretože dúfame, že urobíme viac a výsledok bude väčší. Nebude. V dlhodobom meradle určite nebude.
Multitasking nám spôsobuje závislosť na ňom samotnom. Stávame sa závislí na robení niekoľkých vecí naraz, nedokážeme sa koncentrovať, máme narušenú pozornosť. Multitasking je škodlivý nielen pre naše okolie, ale najmä pre nás samotných.
